Overview
Illinois Tech has added two new labels in Outlook to help protect sensitive information when sending emails. These labels let you control who can read or forward your messages, especially when emailing outside the university.
How to Use the New Labels in Outlook
When composing a new email in Microsoft Outlook, click on the Sensitivity drop-down at the top of the message window. You will now see two new options:

- Encrypts the email content so only the recipient can read it.
- Useful when sharing sensitive or confidential information outside Illinois Tech.
- External Recipients (like Gmail users) will need to verify their identity using a one-time passcode before they can read the message.
- Prevents recipients from forwarding, copying, or printing message.
- Ideal for confidential internal communication.
- Recipients can read the message but will see a banner indicating forwarding and printing are disabled.
What Recipients will see
- The message opens normally with a banner indicating encryption or “Do Not Forward” is applied.
- No extra steps needed.

- They receive an email with a link to “Read the message”.
- Clicking the link prompts a one-time passcode verification.
- After verifying, the email opens securely in a browser.
