Welcome to Microsoft Teams Phone Calling! This guide will help you get started with making and receiving calls, setting up voicemail, and using key features. Whether you’re calling a colleague, setting up a meeting, or checking your voicemail, Microsoft Teams makes communication simple and efficient.

1. Getting Started

Check Your Equipment

- Ensure you have a working headset or speakers

- Test your microphone and camera (if video calling is needed)

- Make sure your internet connection is stable

Sign In to Microsoft Teams

  1. Open Microsoft Teams on your computer or mobile device.
  2. Sign in using your university credentials.
  3. Click on the Calls tab in the left menu.

If you see the dial pad, after you click on Calls, your Microsoft Phone Service is activated.

2. Making & Receiving Calls

Making a Call

📞 Call a Contact:

  1. Open Microsoft Teams and navigate to Calls.
  2. Search for a contact by name or enter a phone number.
  3. Click Call to initiate the conversation.

📞 Dial a Number:

  1. Open Calls and select type a number in the box above the dial pad.
  2. Enter the phone number.
  3. Press Call.

Receiving a Call

  1. When a call comes in, a pop-up notification will appear.
  2. Click Accept to answer on blue button or Decline to reject on red button.

3. How to Access Voicemails via Email

Voicemails are delivered as email attachments, allowing you to listen to them directly from your inbox.

Sender Information

File Format

  • Voicemail messages are delivered in WAV format.
  • The files can be played using any default sound player available on your operating system (Windows, macOS, or Linux).

Steps to Listen to Voicemails

  1. Open your email inbox.
  2. Locate the voicemail email from voicemessage@um.sip.clearspancloud.net.
  3. Download or open the attached WAV file.
  4. Use your default media player to listen to the message

4. Advanced Features

Call Forwarding & Delegation

To enable call forwarding:

  1. Click on three dots on the upper right corner, click Settings → Calls → Call Forwarding.
  2. Choose where to forward calls (e.g., another user or voicemail).

Conference Calls & Merging Calls

Starting a Conference Call:

  1. During an active call, click on People.
  2. Search for and select the contact.
  3. The new participant will be added to the call.

Transferring Calls:

  1. While on a call, click on Transfer. Click again Transfer
  2. Search for and select the contact or enter the extension number.
  3. Click Transfer to transfer the call.

Consult then Transfer Calls:

  1. While on a call, click on Transfer. Click again Consult then Transfer
  2. Search for and select the contact or enter the extension number.
  3. Click Chat to consult with the person. Check if the person is accepting the call.
  4. Click on Transfer.

Troubleshooting

- I Can’t Hear the Caller: Check your audio settings and ensure your speakers or headset are properly connected.

- My Calls Keep Dropping: Ensure you have a stable Internet connection or switch to a wired connection if possible.
